The instructor's problem

You Sign Students Off. But How Confident Are You?

Before a student sits their formal EASA theory exam, an instructor must be satisfied they're ready. In practice, that satisfaction is often based on limited information - a gut feeling, a brief verbal check, or a textbook the student claims to have read.

If the student fails, they face resit fees, delays to their flight training, and the frustration of going backwards. For your school, repeated failures reflect on your ground school programme and consume instructor time.

AeroPrep changes what's available to you before that decision. Real scores. Real question-level data. Real trends over time. Not a self-reported "I think I'm ready" - evidence.

The school portal

Everything Your Instructors Need. Nothing They Don't.

Feature 1

Student Progress Dashboard

See every student's performance across all 9 subjects in one view - scores, percentage of questions attempted, time spent studying, and last active date. Colour-coded at a glance: green means ready, amber means borderline, red means intervention needed.

No more asking students "how's your studying going?" and getting a vague answer. The data answers that question for you.

  • Per-subject accuracy scores for every student
  • Weak topic breakdown by syllabus tag (e.g. airspace classification, pressure altimetry)
  • At-risk alert: automatic flag for any student below 65% in any subject
  • Study activity timeline: when they studied, how long, how many questions
  • Last active date - immediately shows who has gone quiet

Feature 2

Assign Custom Progress Tests

Build a custom exam from the question bank and assign it to one student, a group, or your entire cohort. Set the subject, question count, time limit, and difficulty weighting. Set an optional deadline.

Use cases:

  • End-of-module assessments before moving to the next subject
  • Pre-exam readiness checks — require students to complete a mock before their formal exam slot is booked
  • Remedial tests targeting specific weak topics after a resit
  • Regular timed practice for students who are over-relying on untimed study mode

Results feed back to the instructor dashboard automatically. You see every student's score, pass/fail, time used, and question-level breakdown as soon as they complete it.

Feature 3

Formal Sign-Off Workflow

Mark a student as exam-ready for each subject directly in the platform. The sign-off is visible to the student in their app as a green "Cleared for formal exam" badge - a motivating confirmation that their instructor has reviewed their performance and approved them to book.

The sign-off can include an optional instructor note and is timestamped and recorded against the student's profile for your records.

This creates a clear, documented gate between practice and the formal exam booking - which protects both the student and the school.

Feature 4

EASA ATO-Compliant Training Records

Generate a professional PDF progress report for any student with one click. The report includes:

  • Student name, email, and school
  • Subjects covered with start and end dates
  • Per-subject score history and trend
  • Assigned exam results
  • Instructor sign-off status and date
  • Instructor name and timestamp
  • Bulk cohort PDF pack (ZIP download) from the Students page at any time

Formatted for inclusion in EASA ATO training records. Export individually per student or in bulk for your full cohort at the end of a training period.

Feature 5

Onboard Your Cohort. Discounted.

Purchase student access in bulk at school-discounted rates. Students receive an invitation email with a pre-linked sign-up flow - their account is automatically connected to your school and their subjects are pre-activated. No individual purchasing required.

You control:

  • Which subjects each student can access
  • How long their access lasts (30, 90, or 180 days)
  • When invites are sent (batch or individual)

Unused licences can be reassigned to new students as cohorts change.

Feature 6

Identify Gaps in Your Ground School Teaching

The cohort analytics view shows aggregate performance across all students by subject and topic tag. If 70% of your students are getting Navigation questions on "track error angle" wrong, that's not a student problem - it's a teaching gap.

Use this data to:

  • Prioritise ground school topics that need more time
  • Identify which question categories produce the most failures
  • Compare cohort performance across intake periods
  • Make evidence-based decisions about curriculum emphasis

Getting started

Up and Running in 24 Hours

  1. 1

    Register Your School

Complete the school application at aeroprep.eu/school/apply. Provide your ATO/DTO details, primary contact, and approximate student numbers. Verification typically takes less than one business day.

  2. 2

    We Set Up Your Account

Once approved, your administrator receives an activation email with access to the School Portal. New accounts include a 30-day portal trial (dashboard + assigned exams; student invites capped at three until billing activates). We align GDPR acceptance and VAT invoicing contacts with you, then you subscribe to the published portal tier that matches your cohort (monthly or annual) — see Pricing below — plus licence packs from Licensing when you provision students.

  3. 3

    Invite Your Students and Instructors

Upload your student roster via CSV or invite students individually by email. Each student receives a personalised invitation that links their account directly to your school. Add instructors with your chosen permission levels (view-only, assign exams, sign-off capable).

  4. 4

    Monitor, Assign, and Sign Off

From your first day, the instructor dashboard shows student activity as it happens. Create assigned exams, track progress, set deadlines, and sign students off when the data shows they're ready.

School pricing

Transparent portal tiers & per-student licences

Every verified school receives a time-bound portal trial, then chooses a published School Portal tier based on active cohort size (monthly or annual billing). Separately, you purchase discounted per-student access packs — priced independently — whenever you are ready to provision learners at scale.

30-day School Portal trial

Explore the instructor dashboard and assigned exams at no portal fee. Bundled student licences are not included — you can still purchase seats from Licensing whenever you are ready. During the trial, invite up to 3 active student learners so CFIs can evaluate with real roster data before subscribing.

What instructors say

Trusted by Ground School Teams

Before AeroPrep, I had no visibility into how students were preparing between lessons. Now I can see exactly who's ready and who needs another week before I'd be comfortable booking them in. It's changed how I run ground school.

- Chief Flying Instructor, Irish ATO

The assigned exam feature is excellent for our end-of-module assessments. Students take it seriously because it comes from the instructor, not just the app. Pass rates on formal exams have improved noticeably.

- Ground School Coordinator, European DTO

Onboarding our cohort of 24 students took about 20 minutes. They all got the invite, set up their accounts, and were studying within the hour. The bulk licensing process couldn't be simpler.

- Flight School Administrator, UK ATO

FAQ for schools

Common Questions

How do students access AeroPrep - do they need separate accounts?
Yes. Each student has their own individual AeroPrep account linked to your school. Students sign in with their own email and password via aeroprep.eu or the iOS/Android app. The school link means their progress is visible in your instructor dashboard. Students retain full access to their personal progress history even if they later leave your school.
How does student onboarding work at scale?
Invite students individually by email from the School Portal, or upload a CSV file with student names and emails for bulk invitations. Each student receives a personalised invitation email that pre-links their account to your school and activates their subject access automatically. Students who already have an AeroPrep account can accept the school invite without losing their existing progress.
Is there a free School Portal trial?
Yes. Newly approved schools receive 30 days of portal access (instructor dashboard + assigned exams). Bundled student licences are not included — purchase pooled seats from Licensing when needed. During the trial, student invitations are limited to three roster slots (including pending invites) so CFIs can evaluate with real learners before choosing a portal tier. Email schools@aeroprep.eu to activate billing.
Can I control which subjects each student accesses?
Yes. When you assign a licence to a student, you choose the plan type (single subject or all subjects) and duration. You can assign different plans to different students - for example, giving students who are further along in their training access to more subjects.
Can students use AeroPrep independently, outside of what I assign?
Yes. Students have full access to study mode, self-initiated exam simulations, and personal progress tracking within their subscribed subjects at any time. Assigned exams from the instructor are presented as priority tasks in the student's dashboard but do not restrict general study use.
What permissions can instructors have?
Permissions are configurable per instructor: view student progress (read-only), create and assign exams, mark students as exam-ready (sign-off), manage student invitations, and full school admin access. Most schools give CFIs or senior instructors sign-off permission and give other instructors view/assign access.
How does instructor sign-off work for EASA compliance?
When an instructor marks a student as exam-ready, the sign-off is timestamped and recorded against the student's profile and included in the generated PDF. AeroPrep sign-off is a tool to support your internal decision-making - formal ATO sign-off for EASA purposes remains with your organisation's authorised personnel in accordance with your Operations Manual.
What does the PDF progress report include?
Student name, email, school name, subscribed subjects, per-subject score history, assigned exam results, study activity summary, and instructor sign-off status with date and instructor name. Formatted for ATO training records. Bulk PDF pack (ZIP) and cohort CSV export are available from the Students page.
How is student data handled under GDPR?
For school-managed accounts, the school typically acts as data controller for training-related processing, and AeroPrep processes relevant data on the school's behalf as processor. The Article 28 Data Processing Agreement is published at aeroprep.eu/dpa and is accepted electronically during registration or in the School Portal; countersigned copies can be arranged via privacy@aeroprep.eu.
Do you provide a Data Processing Agreement (DPA)?
Yes. The full Article 28 agreement (schedules, subprocessors, security measures, and breach terms) is published at aeroprep.eu/dpa. Verified schools accept it electronically on application or under School Portal → DPA. Email privacy@aeroprep.eu if your procurement team requires a countersigned PDF.
Can we export student data for our own training records?
Yes. Individual PDF progress reports can be downloaded from each student profile. From the Students page you can export a PDF pack (ZIP) for your cohort — all linked students, or filtered by intake — plus a CSV cohort export with per-subject metrics, supporting your ATO training-record obligations under EASA FCL requirements.
How are invoices issued?
Formal VAT invoices issued for all school purchases. EU B2B reverse charge applied correctly where a VAT ID is provided. PO numbers, cost centre references, and specific billing contacts can be included on invoices on request. Contact billing@aeroprep.eu.
Is there a minimum cohort size to register as a school?
No minimum. Schools with as few as 3–5 students benefit from the instructor dashboard. Pricing is per student, so smaller ATOs pay proportionally. Schools with fewer than 10 students may find direct student plans sufficient depending on how involved the instructor wants to be.
What happens if we need to remove a student from our school account?
You can remove a student from your roster at any time. This unlinks them from your school and removes them from your instructor dashboard. Their personal account and progress data are retained. If a licence was pre-purchased and unused, the credit can be reallocated to another student.
Can students continue using AeroPrep after they leave our school?
Yes. Students retain their account and personal progress data. After their school-purchased licence expires, they can purchase a new plan independently to continue studying.
