- How do students access AeroPrep - do they need separate accounts?
- Yes. Each student has their own individual AeroPrep account linked to your school. Students sign in with their own email and password via aeroprep.eu or the iOS/Android app. The school link means their progress is visible in your instructor dashboard. Students retain full access to their personal progress history even if they later leave your school.
- How does student onboarding work at scale?
- Invite students individually by email from the School Portal, or upload a CSV file with student names and emails for bulk invitations. Each student receives a personalised invitation email that pre-links their account to your school and activates their subject access automatically. Students who already have an AeroPrep account can accept the school invite without losing their existing progress.
- Is there a free School Portal trial?
- Yes. Newly approved schools receive 30 days of portal access (instructor dashboard + assigned exams). Bundled student licences are not included — purchase pooled seats from Licensing when needed. During the trial, student invitations are limited to three roster slots (including pending invites) so CFIs can evaluate with real learners before choosing a portal tier. Email schools@aeroprep.eu to activate billing.
- Can I control which subjects each student accesses?
- Yes. When you assign a licence to a student, you choose the plan type (single subject or all subjects) and duration. You can assign different plans to different students - for example, giving students who are further along in their training access to more subjects.
- Can students use AeroPrep independently, outside of what I assign?
- Yes. Students have full access to study mode, self-initiated exam simulations, and personal progress tracking within their subscribed subjects at any time. Assigned exams from the instructor are presented as priority tasks in the student's dashboard but do not restrict general study use.
- What permissions can instructors have?
- Permissions are configurable per instructor: view student progress (read-only), create and assign exams, mark students as exam-ready (sign-off), manage student invitations, and full school admin access. Most schools give CFIs or senior instructors sign-off permission and give other instructors view/assign access.
- How does instructor sign-off work for EASA compliance?
- When an instructor marks a student as exam-ready, the sign-off is timestamped and recorded against the student's profile and included in the generated PDF. AeroPrep sign-off is a tool to support your internal decision-making - formal ATO sign-off for EASA purposes remains with your organisation's authorised personnel in accordance with your Operations Manual.
- What does the PDF progress report include?
- Student name, email, school name, subscribed subjects, per-subject score history, assigned exam results, study activity summary, and instructor sign-off status with date and instructor name. Formatted for ATO training records. Bulk PDF pack (ZIP) and cohort CSV export are available from the Students page.
- How is student data handled under GDPR?
- For school-managed accounts, the school typically acts as data controller for training-related processing, and AeroPrep processes relevant data on the school's behalf as processor. The Article 28 Data Processing Agreement is published at aeroprep.eu/dpa and is accepted electronically during registration or in the School Portal; countersigned copies can be arranged via privacy@aeroprep.eu.
- Do you provide a Data Processing Agreement (DPA)?
- Yes. The full Article 28 agreement (schedules, subprocessors, security measures, and breach terms) is published at aeroprep.eu/dpa. Verified schools accept it electronically on application or under School Portal → DPA. Email privacy@aeroprep.eu if your procurement team requires a countersigned PDF.
- Can we export student data for our own training records?
- Yes. Individual PDF progress reports can be downloaded from each student profile. From the Students page you can export a PDF pack (ZIP) for your cohort — all linked students, or filtered by intake — plus a CSV cohort export with per-subject metrics, supporting your ATO training-record obligations under EASA FCL requirements.
- How are invoices issued?
- Formal VAT invoices issued for all school purchases. EU B2B reverse charge applied correctly where a VAT ID is provided. PO numbers, cost centre references, and specific billing contacts can be included on invoices on request. Contact billing@aeroprep.eu.
- Is there a minimum cohort size to register as a school?
- No minimum. Schools with as few as 3–5 students benefit from the instructor dashboard. Pricing is per student, so smaller ATOs pay proportionally. Schools with fewer than 10 students may find direct student plans sufficient depending on how involved the instructor wants to be.
- What happens if we need to remove a student from our school account?
- You can remove a student from your roster at any time. This unlinks them from your school and removes them from your instructor dashboard. Their personal account and progress data are retained. If a licence was pre-purchased and unused, the credit can be reallocated to another student.
- Can students continue using AeroPrep after they leave our school?
- Yes. Students retain their account and personal progress data. After their school-purchased licence expires, they can purchase a new plan independently to continue studying.
